University Email Address

Did you know you can have access to a georgetown.edu email address? Nothing makes your club seem more official than having a Georgetown-hosted email address. It lends more credibility than a general email address that you may already be using!

In addition to helping with marketing, owning this email address entitles you to the entire suite of Google Drive products—Calendar, Drive—that could be a tremendous resource for your club. We are equipping new users of this tool with some useful documents on best practices, club requirements, etc. that will be pre-loaded into your drive. Staff can also have access to your drive and directly provide you with anything you may require. We are also happy to give you access to our master calendar at alumniclubs@georgetown.edu so you can plan appropriately for your signature events as well as see what clubs around the world are working on. Also, your university NetID entitles you to a professional Zoom Account that allows for more participants and longer meetings.

Photo Archive

It’s always best to use professional photos when possible, take advantage of the Georgetown network by using the photos provided through the Visual Identity Gallery. When you’ve found a couple options that you like, email visualidentity@georgetown.edu with your selections.

Managing Your Website

Maintaining a Club website is one of the most important ways to communicate with fellow Hoyas. While managing a website is very important, it shouldn’t be a task that is overbearing and takes a lot of your time. That’s why our new alumni website has prebuilt information on your website in a clean and professional style. In order to make the most impactful statement with your website here are some quick tips on how to make it unique & easy to manage:

  1. Photos – At the top of every club website there is a photo of the Healy clock tower, but we encourage you to use an image that is specific to your club. Get creative with this photo so that Hoyas can get a sense of the Hoya community in your market! If you have lots of photos to add to your page, let our staff know and we can work with you to post a photo album to the page as well!
  2. Social Media – If your club actively posts on social media there is a great, easy way to promote those pages at the top of your website. We have prebuilt Facebook and Twitter buttons for you to make the most of your social media channels!
  3. Personalized Content – There are three sections on your website for you to write your own content, make the most of them! Some ideas for great content that will help engage fellow Hoyas in your market are:
    1. Introduction – A personally written, brief welcome to the club page from your Board
    2. Profiles – Hoyas all around the world are doing truly incredible work that has an impact both globally and locally. If you’ve got alumni that are making an impact in your market, go ahead and give them a little credit! People particularly like to hear about locally owned businesses.
    3. Membership – Showcase and grow your memberships by explaining benefits of joining, or let people know about your upcoming elections and encourage them to participate.
  4. Leadership Info – Make sure that every year your leadership list is up to date with ways for people to get in touch with you directly.
  5. Calendar – Use the calendar to let people know about upcoming events . The sooner people know about the event, the more likely they are to attend! So as soon as you know the date of your next event, make sure it’s on the website (even if it is just a save-the date).

Making your club website your own is a great way to show Hoyas how active your club is! Luckily, making it your own is easy to do. Managing Your Social Media

Whether Facebook, Twitter, LinkedIn, Snapchat or any other Social Media site that has come out since the writing of this guide, there are a few key guidelines to using Social Media with your club.

  1. Careful Branding – Make sure your naming conventions and logo usage is in line with what you use for events, email, on your website, and in any printed communications. Nothing can confuse an alum more than seeing several different logos and names for clubs depending on method of communication. If you have questions about obtaining official Georgetown branding or nomenclature, please contact your staff liaison.
  2. Consistent Updates – The most important thing is for your feed/stories to be present as often as possible for your local constituents. This doesn’t mean you have to always be on your phone updating—there are a variety of schedulers you can use (Hootsuite, Tweetdeck, many others) to set up posts for weeks or longer ahead of time to help spread your message.
  3. Content-rich Posts – Use a variety of different methods to infuse your feeds with interesting content; could be “Throwback Thursday” pictures reminding people of Georgetown, Event Reminders, Polls, or anything you desire!
