Club Volunteer Portal

Clubs are required to provide membership lists, event registration and attendee lists to the Office of Regional Engagement so that we can better track alumni engagement across the globe. Enhanced data, metrics, and measurement allows us to more fully tell the story of the impact of Regional Clubs on alumni engagement and assists us in advocating for enhanced resources for clubs. If your club utilizes the iModules backend system provided by the University are not required to submit these tracking documents as they are accessible by the Regional Engagement Team. Stay tuned for important information about easier and enhanced ways to share your information with the Regional Engagement Team coming soon.

The Georgetown University Alumni Association has partnered with Social Tables, anew software to help clubs track attendance and registration data. To learn more and take advantage of this opportunity please contact alumniclubs@georgetown.edu.

Elections and names of board members should also be reported annually, with notification of any mid-term changes.

Sample bylaws are provided by the Alumni Association for clubs to use as a template in creating bylaws. Clubs may modify them, but any modifications must be approved by the Alumni Association, so please contact alumniclubs@georgetown.edu before implementing any changes to the standard bylaws.

Every club is required to submit an Annual Report in the fall. These forms are necessary for us to file your clubs’ taxes as well as provide information to the GUAA and Advancement staff about how our alumni clubs are interacting with the global Georgetown community. Our Alumni Clubs do great work throughout the year engaging Georgetown alumni in your communities and these reports help us to show the impact of your efforts. These forms are emailed to all club leaders every fall.

Every individual club leader is required to sign the Club Leader Statement of Responsibility. This form both protects our club leaders and works to set standards for what is expected of our club leaders. If you are a club leader and have not completed this form this year, please contact alumniclubs@georgetown.edu and ask for a copy of the form via Docusign to sign and file electronically.

If your club is based in the US, it must have an Employer Identification Number (EIN), also called a Tax ID. It is a unique identifier for businesses and non-profits. The IRS uses the EIN for annual tax returns. Many banks require an EIN to open a “Business” account. International clubs don’t need this number, but should look into local requirements. Unless your club is brand new, it should already have an EIN. If you need your EIN, contact alumniclubs@georgetown.edu and we’ll provide you with the necessary documents.

The University staff will handle all required IRS filings for your club as long as your club treasurer completes and submits the Annual Financial Report on time.

If your club is collecting funds, such as dues or event tickets, the club treasurer should be responsible for depositing funds, club expenditures, and record keeping. The Club must store all funds in a dedicated bank account. Club money should NOT be kept in personal accounts. We mandate having 2 current board members as joint signatories with approval to make transactions from the account. International Clubs that collect dues, or manage other collective funds must have bank accounts. Standard accounting, tax and organizational law practices for your country should be utilized. Each club treasurer is also required to submit an Annual Financial Report to the Alumni Association each year for IRS compliance.

Fiscal years are required to run from July 1 – June 30 to mirror that of the university. Contact your club staff liaison for more information about banking.

All chartered alumni clubs in good standing have comprehensive insurance provided via the Georgetown University Alumni Association. If your club needs insurance information for an event vendor contact your club liaison or e-mail alumniclubs@georgetown.edu and the team will forward you the necessary information

Bridget Bowers Holmes is a career services professional having dedicated 12+ years to assisting students and alumni in reaching their career goals. Bridget’s career began as a Career Counselor at Villanova University where she then became an Assistant Director. Bridget left Villanova in 2006 to head back to her hometown, and has since served as the Director and Senior Director for Alumni Career Services and, most recently, the Senior Director of Career & Regional Initiatives at Georgetown University. Under her leadership, the Alumni Career Services team has grown from serving 300 alumni a year in FY06 to more than 18,0000 in FY13. This unprecedented growth is due to her approach in both utilizing one on one resources to meet individualized needs as well as technology to leverage expertise for large number of alums. Bridget has been overseeing regional engagement strategies for Georgetown since the summer of 2014. Bridget has a BA from Lehigh University, a MSEd in Psychological Services from University of Pennsylvania and has completed coursework toward her EdD at Widener University. She lives in Maryland with her husband, 2 year old son, and 4 year old daughter who are both, hopefully, future Hoyas!

Sam Sanders is Director for Regional Engagement, International Clubs, for Georgetown University. Sam graduated from 2007 from the Georgetown College of Arts & Sciences with a degree in History and a concentration in Middle East Studies. After pursuing local politics in his hometown of Buffalo, NY, he heard the call and came back to the Hilltop in 2008. Ever since, he has worked on Georgetown Alumni Relations in almost every facet- Reunions, Homecoming, Student Engagement, and now Regional Engagement. He continues to study and love Georgetown, receiving his Master’s Degree in Culture, Communication and Technology in 2013.

Nick Smith is an Assistant Director of Regional Engagement with a focus on clubs in the Northeast and Midwest regions, including both Washington, D.C. and Philadelphia. He also serves as the Regional Engagement lead on the Club and Volunteer Awards, Faculty Engagement Initiative, and Volunteer Development. Nick came to Georgetown at the end of 2014 after several years at the Department of Labor where he served as both a Grants Management Specialist and Grant and Budget Analyst. After graduating from Dickinson College with a B.A. in Political Science and Policy Management, he has remained actively engaged with his alma mater continuing to serve as the DC Regional Club President and as a member of the Alumni Council, among various other college committees. In 2013, Nick was recognized for his service with the Regional Leadership Award. Nick is very much looking forward to bringing his volunteer experience to the Regional Engagement Team. Originally from the Boston area, Nick has spent his time since graduation in the mid-Atlantic, living in Philadelphia and Maryland. He is now happy to call Capitol Hill home. In his free time, Nick enjoys to travel, bike, watch New England sports, and try new restaurants in the District with his friends.

Jessica Tanca is the Associate Director for Regional Engagement in the West, for Georgetown University. Originally from Miami, Florida, Jessica graduated from Florida State University, and completed her bachelor’s and master’s degree in Media and Communication Studies. Jessica comes to us most recently from American University where she was the Associate Director of Alumni Programs, Outreach Activities. Prior to working at AU, she worked with Seminole Clubs at the FSU Alumni Association.

Alli Heal is the Regional Engagement Coordinator with a focus on clubs in the Mid-Atlantic and Southeast regions, including both Washington, D.C. and Miami. Originally from northern New Jersey, Alli graduated from Bucknell University in 2019 and immediately started working at a digital advertising agency in lower Manhattan. Shortly into her career, she realized she had a passion for higher education and found a home at Georgetown. Alli manages our alumni club in Washington, D.C. as well our Faculty Engagement Initiative program. Alli is excited about her new home in the nation’s capital and can’t wait to explore and meet everyone! When she’s not working, Alli loves to travel, run, watch sports (go Yankees!), and spend time with family and friends! She’s so happy to be a part of the Hoya family!
